How to send your clients a sales follow-up email

When I first started in sales, the idea of “following up” terrified me. Why would any clients want to hear from me again? They listened to my voicemail and read my email. Wouldn’t I just be bothering them?

Imagine my surprise when, as soon as I actually did start following up, that many of my clients and partners were thrilled to hear from me. Some clients read my email and wanted to follow up but lost track of time. Some had received my email, meant to read it and had it fall off their to-do list. Even more hadn’t even noticed I’d sent them an email and a voicemail but were just as happy to talk to me now.

While it can seem intrusive at first, the sales follow up is a crucial part of making sure that you’re providing the best solutions to the most customers. If you need help getting started here is a quick voicemail and email template to help out:

Voicemail:

Hi (client name). This is (your name) with your IT partner (company name) and my number is (phone number). Hope you’re doing well. I’m calling to follow up about the backup and disaster recovery tools I mentioned in my last call. If you have 15 minutes this week, I would love to see if Carbonite will be a fit for you. Would (Date, time) work? Again this is (your name) at (phone number). Thanks!

Email:

Dear (client name),

Hope you’re having a great week. I’m following up on the email I sent earlier about backup and disaster recovery tools. I totally understand that you have a busy schedule. But if you have some time this week I’d love to carve out 15 minutes and talk about ways you can better protect your business-critical information from natural disasters, crypto viruses and human error. Is (Date/Time) a good time for a quick consultation? If not, let me know when would be the best time to connect.

Best,
(your name)
